Who we are

This Privacy Policy explains how Villa Asimba (Rwanda) collects and uses your personal data when you use this website to browse, book a stay, create an account or subscribe to our newsletter. We are the data controller for this processing.

Information we collect

• Booking details: your name, email, phone number, stay dates, number of guests and any special requirements you provide.
• Account information: the email address you use to sign in.
• Payment information: payments are handled by our payment provider. We keep the payment status and invoice records, not your full card details.
• Newsletter: your email address and a record of your consent (date and technical origin of the request).
• Messages: the content you send us through the contact form.
• Technical data: a session cookie needed for your cart and sign-in (see our Cookie Policy). We measure audience with Umami, a cookieless tool that collects no personal data.

Why we use your data (legal bases)

• To manage your booking and stay — performance of our contract with you.
• To send the newsletter — your consent, which you can withdraw at any time.
• To secure the site and prevent fraud — our legitimate interest.
• To meet accounting and legal obligations — compliance with the law.

Who we share it with

We never sell your personal data. We share it only with service providers who process it on our instructions: our payment provider (to take payments), our email delivery provider (to send booking and newsletter emails) and our cloud hosting and storage provider. They may only use the data to provide their service to us.

How long we keep it

• Booking and invoice records: kept for the period required by accounting and tax law.
• Newsletter: until you unsubscribe, then removed from the mailing list.
• Cart session: a temporary selection kept for about two hours.

Your rights (GDPR)

You have the right to access, rectify, erase, restrict or object to the processing of your personal data, to data portability, and to withdraw your consent at any time (for example by unsubscribing from the newsletter). To exercise any of these rights, contact us at the address below.

International transfers

Villa Asimba operates from Rwanda and some of our providers may process data outside your country. When that happens, we take appropriate steps to keep your data protected.
